How to Use Zoom with Opplify

Connect your Zoom account to Opplify to turn your webinars and meetings into tracked CRM activity — automatic registration from your own forms, live tagging when people join, and attendance, poll answers, and Q&A questions written straight onto each contact's record.

This article explains what the integration does, how to set it up, and how to remove it.


What the Zoom integration does

Opplify is a sales and marketing CRM. The Zoom integration connects your own Zoom account so that the people who register for, attend, and interact with your Zoom events become contacts you can follow up with.

Once connected, Opplify can:

  • Show your scheduled events. Your upcoming Zoom webinars and meetings appear inside Opplify so you can pick one to work with.
  • Register people from your own form. Bind a Zoom event to an Opplify form. Anyone who submits the form is registered with Zoom silently, and their unique Zoom join link is saved on their contact record.
  • Keep one registrant list. Every registrant, across every event, on one screen — with a CSV export.
  • Tag people live. The moment someone joins your event, their contact record is tagged, so your follow-up automations can fire while the event is still running.
  • Record attendance. After the event ends, each registrant is marked attended, no-show, or registered, with the time they spent in the room.
  • Log polls and Q&A. Poll answers and Q&A questions appear on each contact's activity timeline, beside their emails, calls, and form submissions.
  • Create meeting rooms for bookings. If you use Opplify appointment booking, a Zoom meeting can be created automatically for each booking you host.

Opplify only ever works with the events belonging to the person who connected. It never accesses recordings, transcripts, or in-meeting chat, and it never sells or shares your Zoom data.


What you need before you start

  • An Opplify account with access to a company workspace.
  • A Zoom account that you own or are licensed on.
  • Zoom Pro or higher for attendance, poll, and Q&A reporting. Zoom does not make post-event reports available on Basic plans.
  • The Zoom Webinar add-on for anything webinar-specific — webinar registration, webinar attendance, absentees, webinar polls and Q&A. Regular Zoom meetings work on Pro without the add-on.

Live join tagging works on every plan, including Basic.

You do not need to be a Zoom account administrator.


How to connect your Zoom account

  1. Sign in to Opplify and open the company workspace you want to use.
  2. In the left sidebar, click Connections.
  3. Scroll to the Your connections section. This section holds personal connections — your own calendar and your own Zoom — as opposed to shared company accounts.
  4. On the Zoom card, click Connect Zoom.
  5. You are taken to Zoom's own sign-in and consent screen. Sign in if prompted, review the permissions Opplify is requesting, then click Allow.
  6. Zoom returns you to Opplify. The Zoom card now shows Connected, along with the Zoom account that was linked.
Tip: each team member connects their own Zoom account. If two people host webinars, both should connect. A form or a booking always uses the Zoom account of the person who set it up.

What permissions Opplify asks for, and why

Zoom lists these on the consent screen. Every permission below powers a feature described in this article — Opplify requests nothing it does not use.

Every permission is read-only except the two write:registrant permissions, which exist for one purpose only: adding someone who filled in your form as a registrant on your own event.


How to collect registrations using an Opplify form

Instead of sending people to Zoom's registration page, use your own Opplify form or landing page. Opplify registers them with Zoom in the background.

To bind a form to a Zoom event:

  1. Create or open a form in Opplify.
  2. Make sure the form collects at least a name and an email address. Zoom requires an email address to create a registrant.
  3. Bind the form to your Zoom event — either from the form builder, or by asking the Opplify assistant, for example: "connect this form to my Friday webinar."
  4. Choose the webinar or meeting from the list of your upcoming Zoom events.
  5. Publish the form and share it wherever you like: a landing page, an ad, an email, a social post.

What happens when someone submits the form:

  1. They are created as a contact in your CRM, or matched to an existing contact by email address and updated in place — never duplicated.
  2. Opplify registers them with Zoom for the bound event.
  3. Zoom returns a unique personal join URL for that person, which Opplify saves on their record so you can include it in your confirmation email, WhatsApp, or SMS follow-up.

The person filling in your form never sees a second registration screen. One submission and they are registered.


How to view and export your registrants

  1. Click Webinars in the left sidebar.
  2. You see one table of everyone who has registered through Opplify, across all of your Zoom webinars and meetings:
    • Lead name
    • Mobile number
    • Email address
    • The event they registered for
    • Their unique Zoom join URL, ready to copy
    • The date they registered
  3. Click Download CSV to export the full list.

If the table is empty, nobody has submitted a Zoom-bound form yet.


How people are tagged live during your event

As each person joins your webinar or meeting, Zoom notifies Opplify and their contact record is tagged within seconds — for example, webinar:joined.

Because it is an ordinary CRM tag, it can trigger your automations immediately: send an offer to everyone currently in the room, alert a salesperson, or move the contact to a different pipeline stage. You build those rules in Opplify's automation section; the Zoom integration simply supplies the trigger.


How attendance, polls, and Q&A reach your CRM

When your event ends, Opplify waits for Zoom to finish generating its report and then pulls it, usually within a few minutes. From that report, Opplify records:

Attendance. Every registrant is given a status:

Status What it means
Registered Signed up. The event has not happened yet, or the report is still processing.
Attended Joined the event. Their total time in the room is recorded alongside it.
No-show Registered, but never joined.

Contacts. Everyone who attended is added to your CRM, or matched to an existing contact by email and enriched. Existing contacts are never duplicated.

Interactions. Poll answers and Q&A questions are written to each person's activity timeline, next to their emails, calls, notes, and form submissions — so one screen shows everything that person has ever done with you.

Please note: attendees who joined as guests without an email address are skipped. Zoom provides no reliable identity for them, so there is nothing to match them to and no way to follow up. Re-syncing an event never creates duplicate contacts or duplicate attendance records.

Opplify does not sell, rent, or share your Zoom data with third parties, and does not use it for advertising. It is stored in your own workspace, visible to your team, and used only for the features described in this article.


How to disconnect Zoom or uninstall the app

To disconnect inside Opplify:

  1. Go to Connections.
  2. Find the Zoom card under Your connections.
  3. Click Disconnect.

To remove the app from Zoom:

  1. Log in to your Zoom account and navigate to the Zoom App Marketplace at https://marketplace.zoom.us.
  2. Click Manage, then Added Apps, or search for the Opplify app.
  3. Select the Opplify app.
  4. Click Remove.

What happens when you remove the app

Removing the app revokes Opplify's access from Zoom's side, and Zoom notifies Opplify so your stored credentials are deleted. Specifically:

  • Your Zoom access and refresh tokens are deleted immediately. Opplify can no longer make any Zoom API call on your behalf.
  • Your upcoming Zoom events stop appearing inside Opplify.
  • Any form bound to a Zoom event stops registering people with Zoom. The form itself keeps working and still creates contacts in your CRM, but submitters no longer receive a Zoom join link — so unbind the form or reconnect Zoom.
  • Live join tagging stops, and attendance, poll, and Q&A syncing stops. Events that have already ended but not yet synced will not be synced.
  • Zoom meetings created for Opplify appointment bookings are not deleted. Existing bookings and their Zoom links continue to work, but new bookings will no longer get a Zoom meeting room.
  • Your Zoom account, your meetings, your webinars, and your Zoom settings are not changed in any way. Nothing is deleted inside Zoom.

How your data is handled after removal

  • Deleted immediately: your Zoom OAuth tokens, and the link between your Zoom account and your Opplify workspace.
  • Retained: contacts, registrations, attendance records, tags, and timeline entries that were already written into your CRM. These are your own CRM records — the same as a contact created by a form or imported from a spreadsheet — so Opplify does not delete them on your behalf. You can delete any of them yourself at any time, exactly like any other CRM record.
  • Full deletion on request: deleting your Opplify workspace removes these records, and you can request deletion of all Zoom-derived data at any time by emailing support@opplify.com. We action deletion requests within 30 days.

To restore the integration later, connect again from the Connections page. You will be taken through Zoom's consent screen once more.


Troubleshooting

Adding the app

What you see What to do
"Zoom integration is not configured" when you click Connect The workspace is missing its Zoom configuration. Contact support.
The consent screen errors, or connecting fails straight away Your Zoom account may block this app. Ask your Zoom account admin to approve it in the Zoom Marketplace admin settings, then try again.
You clicked Allow but were returned to Opplify without a connection Your browser may have blocked the redirect, or the sign-in timed out. Close the tab, return to Connections, and click Connect Zoom again.
The Zoom card still shows Not connected after authorising Refresh the Connections page. If it is still not connected, disconnect and connect once more.

Scheduling and registration

What you see What to do
Connected, but the event list is empty Only upcoming events are listed. Schedule the webinar or meeting in Zoom first, then reopen the picker.
The form submits, but nobody is registered on Zoom Check that the form is still bound to an event, that the event has not already ended, that the host's Zoom shows Connected, and that registration is enabled on the Zoom event itself.

Attendance, polls, and Q&A

People are tagged live, but attendance, polls, and Q&A never appear This is almost always a plan limitation. Post-event reports need Zoom Pro or higher, and webinar reports need the Webinar add-on.
Attendance is still empty right after the event Zoom takes a few minutes to generate the report. Opplify retries automatically — check again shortly.
Nothing happens at all, and you connected a long time ago Zoom may not be delivering events to an older grant. Disconnect and reconnect Zoom once from the Connections page.
Some attendees are missing from the CRM Attendees who joined without an email address are skipped by design, because they cannot be identified or contacted.

Note on recordings: Opplify does not access Zoom recordings, transcripts, or in-meeting chat, and never requests those permissions. Recordings remain in your Zoom account and are reached through Zoom, not through Opplify.


Frequently asked questions

Do I need to be a Zoom administrator?

No. Opplify connects at user level and only accesses the connected user's own meetings and webinars.

Why do I have to authorise Zoom again?

Zoom access is granted per user, per workspace. You will see the consent screen again if you connect a different Zoom account, connect in a different Opplify workspace, or reconnect after removing the app.

Can more than one person on my team connect Zoom?

Yes. Each person connects their own account. A form or booking uses the Zoom account of whoever set it up.

Does Opplify create or change my Zoom meetings?

Opplify creates a Zoom meeting only when you explicitly use Opplify appointment booking with Zoom as the meeting location. It never edits or deletes your existing Zoom events, and never changes your Zoom account settings.

Does Opplify access recordings or in-meeting chat?

No. Those permissions are never requested.

Does connecting Zoom subscribe me to marketing email?

No. Connecting Zoom does not add you to any mailing list. Any Opplify product or marketing email you receive comes from your Opplify account, and every one of them carries an unsubscribe link at the bottom — or email support@opplify.com and we will unsubscribe you.

Do the people who register through my form get email from Opplify?

Only what you choose to send them from your own workspace. Opplify does not email your registrants on its own behalf.

Does this work with recurring webinars?

Yes. Each occurrence syncs separately, and re-syncing does not create duplicate contacts or duplicate attendance records.

What happens to my data if I stop using Opplify?

Disconnecting deletes your Zoom credentials. Deleting your workspace deletes the CRM records. You can also request deletion at any time through support.
